The board and tasks
The board
The Board tab shows the project's columns. With sprints on, it shows the running sprint (Show every task shows them all).
A column shows its first 50 cards; Show 50 more at its bottom loads the next ones, and says how many are not shown. A done column shows the latest done first, so a project with years of finished work still opens quickly. The count next to a column's name is all its cards (or all that match the filters), not only those shown.
A card shows the task's key and type, its priority when it isn't normal, the title, its epic and labels, how far its subtasks (or an epic's tasks) are, and at the bottom how many cases it's linked to, comments, the due date (red when it has passed), the estimate and who it's assigned to.
| Type | Colour |
|---|---|
| Bug | Red |
| Feature | Violet |
| Task | Blue |
| Improvement | Green |
| Epic | Amber |
Filters and swimlanes
Above the board: Search tasks (words in the title or description, or a key like WEB-12), the assignee
(Assigned to me, Unassigned or a person), the type, an epic and a label. While a filter is on, each column
shows how many of its cards match, like 2/7. Clear takes the filters off. The address keeps the filters, so you
can share a filtered board.
Swimlanes splits the board into rows by assignee, epic or priority. Dragging a card into another row changes its assignee, epic or priority as well.
Columns
Owners manage columns on the board itself: Add column at the end, and … on a column for Rename and limit,
Mark as done column, Move left or Move right, and Delete column (its tasks go to a column you pick). A
work-in-progress limit makes the column show 3/2 and turn amber when it has more tasks than that.
Adding a task
New task at the top, or + on a column to start the task in that column. Give it a title, and if you like a type, priority, assignee (owners and members of the project), epic, sprint, estimate (points or hours, as your team counts), due date, the project's own fields, labels and a description in Markdown.
From a case
- On a case, open the menu (… at the top right) and pick Create dev task….
- Pick the project (those of the case's organization where you are an owner or member). The title is the case's subject, the description quotes the request, and the task is linked to the case.
- You stay on the case; its side column now lists the task under Dev tasks, with its project and column.
Tasks still to do come first; with more than three, Show all lists the rest.
Moving tasks
- Drag a card to another column, or up and down within a column. The order is kept.
- On a phone or tablet, press and hold a card for a moment, then drag. The board scrolls sideways, one column at a time; the buttons above it jump to a column.
- With the keyboard: Tab to a card, press Space to pick it up, the arrow keys to move it, and Space to put it down (Escape puts it back).
- Or use … on the card: Move to… another column, or the top or bottom of its own.
Done
A done column (the template's last, or any an owner marks) finishes the task.
Backlog → To do → In progress → In review → Done
Done → Any column: moving it out of the done column makes it open again
When a task enters one:
- each linked case gets an entry on its timeline, like "Jonas finished dev task WEB-12 “Export fails” (moved to Done)";
- each linked case's assignee gets an email about it (not when they moved the task themselves);
- the task's watchers get an email.
[!NOTE] Moving a task out of the done column makes it open again; moving it back in tells the cases again.
A task's details
Click a card (or press Enter on it) to open the task beside the board. Owners and members change everything there, and it saves as you go; viewers read and comment.
| Part | What it holds |
|---|---|
| Details | The title, status (the column), type, priority, assignee, epic, sprint, labels, estimate, due date and the project's own fields. |
| Description | Edit, Markdown. |
| Subtasks | Smaller steps of the task, each a task of its own (with its own key). A task without any shows only a small Add subtask link; type the subtask's title in the box it opens. The card shows how many are done. A subtask is planned in its task's sprint and moves with it. |
| For an epic | The tasks in it, and how many are done. Put a task in an epic with its Epic field. |
| Cases | The linked cases you can see. A task without any shows a small Link a case link instead. Link one by typing its reference (like PB-1042) and Link; the unlink button removes a link. Only cases of the project's organization can be linked, and only ones you can see. |
| Comments | Markdown; ⌘ ↵ or Ctrl ↵ sends. Type @ and a name to mention someone with access to the project: they get an email and start watching the task. |
| History | Who created, moved, changed and linked the task, and when; the latest five, with Show all for the rest. |
Watch at the top follows the task: you get an email when someone comments, and when it's done. You watch the tasks you create, are assigned or are mentioned on. … has Delete task, for owners and the person who created it; its subtasks stay.
The address of the open task can be shared: it opens the board with the task.
